About the Westlock Community Foundation:
The Westlock Community Foundation (WCF) is dedicated to supporting the Westlock region by building endowment funds from generous donors. Income from these funds is used to provide grants to local charities, addressing the evolving needs of the community. Established in 2021 and governed by a Board of Directors, WCF distributes significant funding to local organizations to make a lasting impact.

About the Role:
Reporting to the Executive Director, the Administrative Assistant and Executive Support Coordinator will play a crucial role in supporting the day-to-day activities of the foundation. This role involves providing administrative and logistical support to the Executive Director, Board of Directors, and working committees. You will also coordinate key programs and projects, including the Annual Grant Program and special events, while serving as a primary contact for donors.

Key Responsibilities:

  • Provide administrative support to the Executive Director and assist in managing the office, including preparing materials, managing calendars, and coordinating logistics
  • Coordinate the Annual Grant Program, manage applicant files, and liaise with grant recipients and the Grant Advisory Committee
  • Prepare resources for Board and committee meetings, take minutes, and support follow-up actions
  • Manage donor relations, including maintaining a database, producing thank-you letters, and responding to inquiries
  • Organize and support events, such as the Community Impact Celebration, Miller Giving Day, and Wills & Estates Week
  • Serve as a public liaison, handle visitor and caller inquiries, and maintain an executive contacts database

Qualifications:

  • Post-secondary education in office or business administration and at least five years of relevant experience, with two years in a senior administrative role
  • Strong organizational, communication, and interpersonal skills, with excellent attention to detail
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and database management
  • Ability to work independently and as a team player, with discretion in handling confidential information
  • Valid driver’s license required
